How to run an RFQ in 7 days (with template)
Most RFQs take three weeks not because the market is slow, but because internal alignment, sloppy scoping and non-comparable bids stretch the timeline. Here's a compressed 7-day cadence that still gets you 3–5 defensible quotes.
Day 1 — Scope & lock the spec
Write a one-page brief: what you are buying, quantity, delivery window, technical must-haves, and any deal-breakers. If the spec isn't clear, no amount of supplier competition will produce comparable bids.
Pin down the incumbent's current price, terms and last renegotiation date. That's your baseline — every offer will be measured against it.
Day 2 — Shortlist 3–5 suppliers
More than 5 suppliers is a coordination tax, not a savings lever. Pick 3 credible incumbents-or-adjacents plus 1–2 new challengers.
For challengers, ask two references and check basic financial health before spending a full RFQ cycle on them.
Day 3 — Launch the RFQ

Award, get the contract signed, and — critically — write down the concessions you didn't get. Those are the levers for next cycle.
